Terms

Last updated 28 October 2026

These terms explain how our website, your free system preview, our calls, your client portal and paying us online all work. We’ve kept them as plain as we can. If anything’s unclear, just ask us.

1. About these terms

This website is run by Edderton Scott (“we”, “us”), a business systems consultancy based in Glasgow, United Kingdom.

By using our website, asking for a system preview, booking a call, using the chat, opening your client portal or paying us online, you agree to these terms. They work alongside our privacy policy and cookie policy.

When we do work for you, your signed agreement comes first. Every Pilot, project and Care plan has its own agreement (the Pilot agreement, the Project agreement or the Care agreement). That agreement sets out the work, the price and how payment works. If it ever says something different from these terms, the agreement wins.

2. Who we work with

Our services are for businesses. When you ask for a preview, book a call or sign an agreement with us, you’re doing it for a business, and you confirm you’re allowed to act for it. If you happen to use our website as a private individual, nothing in these terms takes away any rights you have by law as a consumer.

3. Using our website

  • Please use it lawfully and fairly. Don’t try to break into it, overload it, copy it wholesale with automated tools, or use it to send spam or harmful code.
  • Our forms, booking calendar, chat and sign-in pages are protected by Cloudflare Turnstile, which checks that a person is using them. Please don’t try to get round it.
  • We work hard to keep everything here accurate and up to date, but it’s general information, not advice for your particular business. We may change, pause or remove any part of the website at any time.
  • Our cases describe real work. Results differ from business to business, so they show what’s possible, not what we promise for you.

4. Your system preview

When you ask to see your system, we build you a private preview: a concept of the system your business could run on, made from your answers.

  • It’s free, and asking for one commits you to nothing.
  • It’s a concept, with sample data. It shows how things could work. It isn’t a working system, and it doesn’t connect to anything of yours.
  • The hours it shows are an estimate, worked out by our own formula from what you told us. They’re there to help you decide whether it’s worth a conversation, not a guarantee of what you’ll save. Please don’t rely on them for financial decisions without talking to us first.
  • We use AI to help build it. An AI provider helps write the preview from your answers (it never receives your email address). Someone from our team may check it before it’s sent. AI can get things wrong, so if something doesn’t fit your business, tell us and we’ll put it right.
  • The link is private and works for 14 days, and you can ask for more time from the preview itself. Please keep it within your business and don’t publish it. Anyone with the link can see it.
  • Your answers and your logo stay yours. You give us permission to use them to build your preview, to talk to you about it and to follow up, as our privacy policy explains. If you add your logo, you confirm you’re allowed to use it. We only ever show it on your own preview.
  • We follow up by email for a while after we send it. Every email lets you stop them in one click, and they stop by themselves when you book a call or reply.

5. Calls and the chat

  • Calls you book through our website are free. If you can’t make it, you can move or cancel it from the link in your confirmation email. We’ll do the same and let you know straight away if something changes on our side.
  • The chat on our website is answered by an AI assistant. It’s there to help you find your way and answer common questions, and if you’d rather hear from one of us, you can leave your question there and we’ll reply personally by email. It can make mistakes, and nothing it says is a quote, a promise or professional advice. Only a written proposal or a signed agreement from us is.

6. Prices and proposals

  • Every project has one fixed price, set out in a written proposal. We don’t charge by the hour.
  • Prices are in pounds sterling and don’t include VAT, which we add at the current rate.
  • A proposal is valid for 30 days. It becomes binding when you sign the agreement that comes with it.
  • Any figure you see elsewhere (on our website, in an email, in the chat or in your preview) is a guide. The price in your signed agreement is the one that counts.

7. Paying us online

Our invoices sit in your client portal, and you can pay them there online. We take payments through these providers:

ProviderHow you pay
StripeDebit or credit card, and Apple Pay or Google Pay where your device offers it.
GoCardlessDirect Debit from your bank account, protected by the Direct Debit Guarantee.
PayPalYour PayPal account, or a card through PayPal.
SquareDebit or credit card, and Apple Pay or Google Pay where your device offers it.

Which of these you see on an invoice depends on what’s switched on at the time. You can also pay by bank transfer, using the details on the invoice.

  • You pay on the provider’s own secure page. Your card or bank details go straight to them. We never see them or store them, and nor does our client portal. We only receive confirmation of the payment, the provider’s reference, and a short label such as “Visa ending 4242”.
  • The provider’s own terms apply to its part. When you pay through Stripe, GoCardless, PayPal or Square, you’re also using their service, under their terms and privacy notice. They may run their own checks to prevent fraud.
  • Saved payment methods. If your agreement says so, paying your deposit by card (through Stripe) or by Direct Debit (through GoCardless) also saves that method with the provider. We then use it only for the payments your agreement sets out, such as the balance when the work is accepted and your Care fees, and we’ll always tell you before we take a payment. Payments through PayPal or Square aren’t saved, so for those we simply send you each invoice. You can see and remove saved methods in your portal at any time. If you remove one, we’ll send invoices for you to pay instead.
  • No surcharges. We don’t add a fee for paying by card.
  • When a payment counts. A payment is made when the provider confirms it to us. Direct Debit payments take a few working days to clear.
  • If a payment doesn’t go through, we’ll let you know and try again or ask you to pay another way. Nothing changes until we’ve talked.
  • Paying late. Invoices are due on the date shown. If one is overdue, we’ll remind you first. As businesses, we both have the right under the Late Payment of Commercial Debts (Interest) Act 1998 to claim interest and reasonable recovery costs on late payments, and we may use it if an invoice stays unpaid.
  • Refunds go back the way you paid wherever we can, and we send you a credit note.
  • Something wrong with a payment? Please tell us first, before raising a dispute or chargeback with your bank or provider. We’ll sort it out quickly.

8. Your client portal

Once we start working together, you get a private client portal, run on our own system, the Edderton Scott Platform. It holds your agreements, progress updates, files, invoices and payments.

  • Your link is the key. The portal opens from a long private link we send you, with no password. Please keep it to the people in your business who need it, and tell us straight away if it’s been shared by mistake. We’ll replace it, and the old link stops working.
  • Signing online is binding. When you sign an agreement in your portal, it counts the same as signing on paper. We record when and how it was signed, and email you a signed copy.
  • Files you add. You’re responsible for the files and information you upload, and for having the right to share them with us. Please don’t upload anything we haven’t asked for that holds sensitive personal data. We keep what you share as our privacy policy explains.
  • Files we share. Some may be view only. Links we send for sharing files can have a password, an expiry date or a limit on views.
  • We aim to keep the portal running all the time, but it may sometimes be unavailable for maintenance or reasons outside our control. Your signed agreements and invoices are always emailed to you as well.

9. Who owns what

The content of this website (words, design, images, video and code) and the system previews we make belong to us or the people we licence them from. You’re welcome to view them, share links to our pages, and print or save a page for your own use. Please don’t copy, republish or sell them, or use them to train AI models, without asking us first.

What you own in work we build for you is set out in your signed agreement.

10. Our responsibility to you

  • Our website, previews, chat and calls are free and given as general help. We do our best to make them accurate and useful, but we can’t promise they’re error-free or right for your particular situation.
  • So, as far as the law allows, we aren’t responsible for any loss of profit, income, data or business, or any indirect loss, from using them. And our total responsibility to you for these free services is limited to £100.
  • For paid work, your signed agreement sets out our responsibility instead.
  • Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn’t let us limit.

11. Everything else

  • Other websites. We link to other sites (such as our payment providers and Cloudflare). We’re not responsible for them, and their own terms apply there.
  • Changes. We may update these terms from time to time, and the date at the top shows the latest version. Changes don’t affect an agreement you’ve already signed.
  • If one part doesn’t hold. If a court decides any part of these terms can’t be enforced, the rest still applies.
  • The law. These terms are governed by the law of Scotland, and the courts of Scotland deal with any dispute. We’d always much rather talk it through first.
  • Talking to us. Start a conversation in the chat, reply to any email we’ve sent you, or, once we’re working together, send us a message from your client portal. For anything about your personal data, use the request form in our privacy policy.
